How to Calculate Food Cost Per Menu Item

Knowing what each menu item actually costs you is the foundation of café profitability. Here's how to calculate it from scratch.

What You'll Need

  • Your full recipe (ingredients + quantities)
  • The current cost per unit of each ingredient (from your latest invoices)
  • Your menu price for the item

Step 1: List Every Ingredient

Take one menu item — say, a latte. List the ingredients and amounts:

  • Espresso: 18 g
  • Milk: 8 oz
  • Cup + lid: 1 each
  • Sleeve: 1 each

Step 2: Convert Each Ingredient to Cost

Multiply the amount used by the cost per unit:

  • Espresso: 18 g × $0.04/g = $0.72
  • Milk: 8 oz × $0.04/oz = $0.32
  • Cup + lid: $0.18
  • Sleeve: $0.04

Total food cost: $1.26 per latte

Step 3: Calculate Food Cost Percentage

Use this formula:

Food cost % = (Food cost ÷ Menu price) × 100

For a $4.50 latte: $1.26 ÷ $4.50 = 28%

A healthy café runs 25–35% food cost on beverages and 28–35% on food. If yours is higher, you have two levers: raise the price, or lower the ingredient cost.

Step 4: Find Your Menu's Worst Offenders

Repeat for every item. Rank by food cost %. The highest percentages are where you're losing money — either price them up or rework the recipe with cheaper inputs.

Step 5: Re-check Monthly
